CONFERENCE TERMS AND CONDITIONS
Acknowledgement of Registration
Your registration will be acknowledged via email with confirmation of your requirements, upon receipt of your completed registration form. An electronic tax invoice will also be issued. All updates regarding the conference will be posted to the conference website.
Each delegate will also receive a name badge upon arrival to the conference. The name badge will be your official pass and must be worn to obtain entry to all sessions and to social functions. Day registrants and partners will be added to guest lists for each additional event booked.
All conference and function payments must be paid in full prior to the conference. All registrations received after 20 May 2019 must be paid in full by credit card only. If payment is not received prior to the conference, access will be granted only after full payment is made by credit card on arrival.
Cancellations will only be accepted in writing to the conference secretariat at the email or postal addresses set out below. At any point prior to the event you are welcome to contact us in writing to nominate a substitute delegate at no extra charge.
Alternatively, a full refund less a $100 service fee will be issued for cancellations received before 20 May 2019. We are unable to issue a refund after this date. Non-payment does not constitute cancellation.
If you are cancelling any or all aspects of your booking: registration, accommodation and/or a tour, this can be done by correspondence to Agentur.
All relevant delegate details will be stored in a database used by Agentur to manage the registration process and conference organisation. A list of delegate names and contact details will be retained by Agentur and will be used to send conference related information. Delegate names and contact details will be supplied to the Lowitja Institute Conference Coordinator, but will not be passed on or sold to any other organisations. A delegate list will be provided to all conference delegates but this is an opt-out option; please let Agentur know if you do not wish to included.
Registration fees do not include insurance of any kind. It is recommended that participants take out their own general travel insurance. It is suggested that the insurance policy should also cover loss of fees/deposit, accommodation charges, medical expenses, loss or damage to personal property and repatriation expenses.
The insurance could also cover loss arising from the cancellation of the conference by the organisers or a person's inability to attend due to any reason whatsoever. No responsibility is taken by the Lowitja Institute or its agents for losses suffered by persons not holding insurance.
Payments must be received within 7 daays of booking, if not received your booking may be cancelled. Any rooms cancelled within 30 days prior to the start of the conference will be subject to 100% of the total accomodation rate. No refunds will be issued within 30 days prior to the start of the conference.
Photographic and audio/visual consent
The Lowitja Institute requests your consent to use any photographs and/or audiovisual (video and voice) material taken of you at the conference, for an indefinite period, in conference reports and other promotional material. Please note that copyright for the photographs and/or audiovisual footage remains with the Lowitja Institute and that there is no payment associated with their use.
The Institute undertakes to identify the event, group and/or individual, as well as the photographer, where possible. Under no circumstances will the Lowitja Institute release the originals of photographs, videos or voice recordings of you to a third party for an alternative use without your permission.
Photographs and/or audiovisual material taken may be used and distributed as described above, and if posted on the Lowitja Institute website or other online platforms they will be available to the public. Because the internet is a public medium, the Lowitja Institute is not responsible for, and has no control over, the use or misuse of images available on its website or social media platforms.
Delegates who do not wish to give consent as described above, please inform Agentur in writing prior to the commencement of the conference:
