Accommodation Booking Information 

Welcome to the AusBiotech 2012 National Conference accommodation booking website.

InHouse Event Solutions has been appointed the official accommodation booking agent for this event.

On behalf of delegates attending the conference, we have negotiated special rates with a range of hotels conveniently located within walking distance of the Melbourne Convention & Exhibition Centre (MCEC).

Please note, one night's accommodation payment will be required before your booking can be guaranteed.  

Please be advised that as we are now well within 30 days of the Event, accommodation rooms are subject to availability.

Accommodation Registration

Registration for your accommodation requirements is easy.  In the registration box on the top right hand side of this page, you are asked to provide your email address and then select the number of rooms you would like to book.

Please follow the prompts in the registration process to select your appropriate room type. The system will automatically advise if your room category is full and you will then need to book another room type.

Accommodation Options

Accommodation rates have been finalised to allow you to stay at some of the venues for up to 3 nights either side of the conference, however it should be noted that the Melbourne Cup Carnival starts the day after the conference finishes and rates on most properties do increase on Friday night the 2nd November.  Details are provided in the accomodation table shown if you would like to extend your stay. If for any reason you are unable to complete this on the website, please contact Libby Lane at with AusBiotech 2012 in the subject line of the email. We will contact the hotel and advise you via email about the status of your request.

Photos, descriptions of rooms and hotel terms and conditions are provided during the registration process. 

Accommodation Payment

A valid credit card must be supplied to secure your booking. A charge equal to one night's accommodation per room booked will be charged to your credit card to secure the booking. Please note there will be a 2.7% credit card surcharge. The balance of the payment will then be settled directly with the hotel upon arrival . All charges are processed through our secure PCI DSS (Payment Card Industry Data Security Standard) website and payment system which processes the payments via an encryption system so that all credit card details are fully protected at all times. InHouse  Event Solutions will forward your contact details, reservation and deposit details to the hotel of your choice.

As per standard hotel policies and procedures attendees will be required to provide a credit card or full cash payment upon check in. This is to cover any incidental charges that may be incurred during your stay and all remaining unpaid room nights.

The hotel will hold on your credit card, until point of check out, an amount which covers all unpaid accommodation nights reserved plus a daily amount for incidental charges. Any monies still being held on your credit card by the hotel, once you have settled your account and checked out will be released.

If you will be settling your accommodation account by cash you will be asked to pre pay for your accommodation in full when you check-in plus a cash deposit to cover incidentals that may be incurred during your stay. Should you not utilise any incidentals during your stay the cash deposit, for incidentals only, will be refunded to you by the hotel upon check-out.

Please note the daily incidental charge may vary across the listed hotels.

If you prefer to pay by EFT, Amex, Diners or TT, please contact the accommodation managers and we will provide you with an appropriate form for payment. If you decide to pay by International TT, there will be a $12 fee added to your invoice.  This is a charge which is made by the bank and not by InHouse event Solutions.  Please note, your hotel room will not be confirmed until at least one night's accommodation per room is paid. 


Booking Cancellations

Cancellation fees will apply as per each hotels terms and conditions detailed in the booking system. These terms and conditions will apply to the total booking within 30 days of the conference commencement. Please ensure all amendments to your booking and cancellations are made in writing directly to the hotel at the email address provided on this website and to the email address below.

Please note, dependant on the hotels cancellation policy which is listed under each properties details, you may be charged up to the full amount of the total nights accommodation booked if you cancel your booking after the 30 day deadline of 27 September 2012 or you do not arrive on the date you are booked to check in.

All no shows at the hotel on the day of check in will be subject to the same conditions as a cancellation.  If for whatever reason you are unable to arrive at the hotel on the day you have booked for it is advisable to call them and advise them so that they will hold your room if you are still going to arrive at some later point.
