Default Booking Notes save you time in writing the same information over and over again as well as consistency in the detail that you require to be applied to a Banquet Event Order.
Default Notes allows you to create a template that can be inserted into your bookings as a note, without having to type them out each time. You can also tell the system that a note type is mandatory before a BEO can be created within bookings. E.g. A BEO cannot be created unless a signatory note with the signatory information is added to the booking.
Creating a new Default Booking Note
Navigate to Setup > Templates > Default Booking Notes within the venue you wish to add the note.
Select “Add Default Booking Notes”.
And complete the following:
Note; Description/detail of the note.
Applies To; This will effect where it will fall on your Banquet Event Order.
Is Required; If you select yes: a Banquet Event Order can not be created without this note added to a booking.
Once saved the Default Booking Note will now be available to add to your Banquet Event order.
Booking notes are a way to add comments or notes about a particular booking. You can have default notes that appear on all bookings, and also add manual notes that you can create specific to that booking as well. You can also nominate whether you want these notes to be private, or whether they need to appear on your BEO (Public).
Adding Booking Notes
Booking notes are the most efficient way to add recurring notes to your event orders. Learn how to setup Default Booking Notes so that you can have custom templated notes ready to apply to your bookings.
Click on Notes
Click on Add Item
Select New for a New Note
Select Internal for a Note that will NOT display on the Event Order
Select From Default Notes to select from your pre-populated list
Edit the note as required for this booking
Select where the note will be applied to. If you have used a default booking note, the selection will be automatically selected for you. Note: if you do not assign the note to a section of the event order, the note will not be displayed on the event order
If you have selected menu, beverage, session or resource, tick which items the note is to be applied to. You can select multiple items. Note: If you do not select an item, the note will note appear on the event order.
