Setup Requirements for Your Function


iVvy Venues allows you to add a set up requirement for a function. The information entered in the set up requirements section can be populated into your Banquet Event Orders (BEO’s) when they are created.
For example; Setup requirements could include the power adapters requirements, the setup of a presenters table etc…

Setup Requirements including the description will be visible on the Banquet Event Order (BEO) documents.
 

To add a new setup requirement for a Simple Booking;

  1. Navigate to the quote or booking of interest, and then click on the “Setup Requirements” tab,

  2. Give the setup requirement a name, and description and save. 
     


To add a new setup requirement for a Detailed Booking

  1. Navigate to the quote or booking, and then the “Sessions” tab. 

  2. Edit the session that you want to add the setup requirement to, 

  3. Click on the “Setup Requirements” tab,

  4. Click on “Add Setup Requirements” and then select “New” from the select list,

  5. Give the setup requirement a name, and description and save. 

 

 


To add an Existing setup requirement for a Simple Booking;

  1. Navigate to the quote or booking, and then click on the “Setup Requirements” tab,

  2. Click on “Add Setup Requirements” and then select “Existing” from the select list,

  3. Select the setup requirements from the list displayed in the dialog, and select “Save”.

  4. Once saved you can edit the setup if you need to add more information, remove any details that are not suitable for this individual booking. 

 

To add an Existing setup requirement for a Detailed Booking;

  1. Navigate to the quote or booking, and then the “Sessions” tab. 

  2. Edit the session that you want to add the Setup Requirement to, 

  3. Click on the “Setup Requirements” tab,

  4. Click on “Add Setup Requirements” and then select “Existing” from the select list,

  5. Select the setup requirements from the list displayed in the dialog, and select “Save”.

  6. Once saved you can edit the setup if you need to add more information, remove any details that are not suitable for this individual booking. 


NOTE - any changes that you make will only be changed in this booking not future bookings. If you need to make changes for all future bookings this can be done under the setup.
 

Setup requirements can be templated so you don’t have to create new ones for time. This can be created under the setup section of your system; Find out more about Creating Setup Requirements For A Function Space.

 

Sorting your Setup Requirements:

Once you have added all your setup requirements, if you have multiple requirements you can sort them by clicking on the drag icon on the left hand side of the requirements (appears as 8 little squares that when you mouse over them your cursor turns to a four pointed diamond) so that you can click and drag your requirements up and down into order.

Do not forget to click the save sort order button once you are done.

  • Edit - Allow to edit the existing setup requirement

  • Delete - Allow to delete an existing setup requirement

  • Save Sort Order - located on the left hand side of each setup requirement this will enable you to click and drag to sort to an order of your choice. The save sort order button must be clicked for the order to be remembered.
