Creating a Booking Manually


Bookings can be added into your system in two ways

  • Converting a lead to a booking
  • Adding a booking manually

To create a new Booking manually;

  1. Navigate to Bookings - Function Diary
  2. Check availability of the required dates.
  3. Select the Add button.


     
  4. Select Booking - Note that if you do not create a quote (and a lead) a BCC email address will not be created.
  5. You will then be taken through to the Booking Screen
  6. Enter the Event Name.
  7. Select the Status of the event such as Tentative or Confirmed.
  8. Select the Contact Type.
  9. Select the Event Type if required.
  10. Enter the Event Start Date.
  11. Enter the Event End Date
  12. Select whether you would like to include Accommodation.
  13. If you select Yes, select whether you would like to have Accommodation Blocks.
  14. Select how many rooms are Complementary within the block.
  15. Specify the maximum amount of Complimentary Rooms in the block.
  16. Specify Arrival and Departure Date.
  17. Specify if dates are flexible.
  18. Specify if the Food & Beverage is Paid by Master Account or the Guests.
  19. Specify if the event will have Packages.
  20. Enter a Billing Address if required.
  21. Specify if the Booking is Commissionable
  22. If you select Yes. Enter the Agent and the amount in terms of % or Room Hire, Food & Beverage, Audio Visual and Accommodation.
  23. Select Return to this Booking.
  24. Press Save.

The following details should now be added to the booking where known or required.

  • Package
  • Sessions
  • Food & Beverage
  • Resources
  • Products
  • Notes
  • SetUp Requirements
